These Terms & Conditions exist to keep things fair, safe, and enjoyable for everyone — animals, guests, and our team alike.
We keep our language plain and friendly, because we’d rather you understand what you’re agreeing to than have to decode legal jargon.

If anything here doesn’t make sense or if your situation is unusual, please talk to us. We’ll always do our best to help and adapt.

1. General Terms (apply to all bookings)

Handling & Hygiene

Our sessions are hands-on and interactive. Everyone should:

  • Handle animals gently and calmly.
  • Use quiet voices (we know some participants get excited — just let us know in advance so we can adapt).
  • Wash or sanitise hands before and after contact.
  • Keep food, sweets, and drinks away from the animals.
  • Understand that some species are “look-only” when welfare requires it.
  • Follow all staff instructions; we may stop handling for anyone who doesn’t.

Group Size & Supervision

To keep sessions safe and enjoyable:

  • Maximum 25 children for parties or small groups (smaller numbers give a better experience).
  • Adults supervise and help keep the group calm.
  • If numbers exceed the agreed limit, the session may become unsafe to proceed. In those cases, the full session fee will still apply, even if we cannot continue.
  • Adults play an active part in creating the right environment. Please help us by encouraging calm voices, gentle handling, and attentive listening.

Food & Drink

  • Please serve party food after the session.
  • No food or open drinks in the handling area.
  • Let us know about allergies or medical conditions that could be affected by animal contact.

Space & Setup

  • Flat, step-free access preferred; tell us in advance if there are steps or parking issues.
  • Indoor spaces are safest unless we’ve agreed otherwise.
  • We’ll need room for a semi-circle of seated participants with space behind us for animals.
  • Please avoid loud music, inflatables, or distractions during the session.

Arrival & Timings

  • We arrive roughly 10 minutes before the start time to set up.
  • Please meet us on arrival to confirm setup, allergies, and timings.
  • Late starts shorten the session (we usually have another booking after yours).

Alcohol & Behaviour

  • Alcohol is fine in moderation. Anyone intoxicated or behaving unsafely will not be allowed near the animals.
  • Unsafe or disrespectful behaviour may result in the session being stopped without refund.
  • Everyone present must follow our safety instructions.
  • We reserve the right to pause or stop sessions if safety, welfare, or behaviour concerns arise.
  • Abuse or aggression towards staff will not be tolerated.

Animal Welfare & Requests

We always bring a range of animals that suit your theme, group size, and age. You don’t need to request specific species, but if you’d like to, limit requests to 2–3 and we’ll try our best — animal welfare always comes first.

Payment & Deposits

  • Deposits: sometimes required, discussed at the time of booking.
  • Preferred payment: bank transfer (it avoids card fees), but we also accept card payments and cash when needed.
  • Minimum hours: all displays are a minimum 2 hours; longer travel may require 3 hours + to cover welfare and travel time.
  • Payment due: on or before the day of the session unless agreed otherwise.
  • Late fees (cumulative): £25 if not paid on the day → + £25 after 30 days → reasonable recovery costs may follow if still unpaid.

Cancellations & Refunds

  • If we have to cancel due to staff illness, extreme weather, or animal welfare, you’ll be offered a refund or rescheduled date.
  • If you cancel more than 14 days before, no charge. Within 14 days, we may charge a fair amount to cover lost time or prep.
  • We’re flexible — talk to us if something unexpected happens.

At Animal Cwtch, our Terms & Conditions exist to make sure every encounter runs smoothly, safely, and fairly — for you, your guests, and our animals. We want every session to feel calm, inclusive, and enjoyable, while keeping animal welfare and your experience at the heart of everything we do. Parties & Group Bookings

  • Maximum 25 participants (children or mixed-age).
  • Parents/carers supervise and help maintain calm.
  • Payment due on or before the day (cash, card, or bank transfer).
  • Deposits discussed at booking where needed.
  • Keep food, sweets, and drinks away from the animals.
  • We’ll always aim to make the session inclusive — let us know in advance if any adjustments help.
  • Follow all staff instructions; we may stop handling for anyone who doesn’t.

Schools & Educational Groups

  • Teachers or support staff must remain present throughout.
  • Pupils should stay seated, use quiet voices, and follow guidance.
  • For larger year groups, we may suggest splitting into smaller classes for safety and engagement.
  • Invoices can be sent in advance; payment due on or before the visit unless 14-day terms agreed. Late fees apply as above.
  • All paperwork (risk assessments, DBS copies, insurance docs), will be provide in advnace.

Care Homes & Wellbeing Visits

  • Calm, comfortable environment is key; staff or carers should assist residents as needed.
  • Sessions may pause briefly for comfort breaks — we’re patient and flexible.
  • Payment on or before the day (cash, card, or bank transfer).
  • Please tell us about allergies, mobility needs, or space limits in advance so we can plan safely.

Community & Public Events

  • Deposits: 25% non-refundable unless otherwise agreed.
  • Payment: full balance due on or before the event.
  • Minimum hours: 2 hours (3 + for long-distance events).
  • Weather: if unsafe (heavy rain, heat, cold), we’ll reschedule or adapt.
  • Crowd control: organisers must manage flow and keep safe barriers around our setup.
  • Hand hygiene: we bring sanitiser; organisers provide proper hand-washing facilities (soap & water).
  • Travel & staffing: extra distance or large crowds may need additional staff (at cost, discussed in advance).
  • Unsafe environments or unmanaged crowds may result in sessions being paused or stopped for welfare reasons — safety always comes first.

Insurance, Licensing & Legal Stuff

  • Animal Cwtch holds full public liability insurance and operates under current Welsh animal-activities licensing and welfare standards.
  • All sessions are risk-assessed.
  • While we take every care, participation is at your own risk under our supervision.
  • These Terms & Conditions are governed by the laws of England and Wales.

Privacy & Data

  • We keep only the information we need to manage your booking (name, contact details, session info, allergy notes).
  • We never sell or share data and we store it securely.
  • You can ask to see or delete your information at any time by emailing info@animalcwtch.co.uk
  • We prefer written communication as Jo is profoundly deaf, so please contact us by email or text message rather than phone where possible.
